HandiCapable Board Meeting
Treasury Report: We have $230 in our account. The state finally received our 501c(3) paperwork and has our $300 check. We hope to hear something soon.
Chili Cookoff: We are following the official CASI guidelines and completing them in order:
Step 1. We have selected the cook-off location and date. Miami County Fairgrounds, October 11, 2008.
Step 2. We have determined the recipient of funds that are raised. Proceeds will be split between Handicapable and the Community Foundation. Please memorize the following: “The purpose of this fundraiser and the use for funds will be to establish a central, accessible location to meet the needs, educate and become ambassadors of the disabled”.
Step 3. We have determined that we will sell sponsorships, at various levels, for the event and will only have a co-sponsor if we receive a sponsorship of $3000 or more.
Step 4. We have contacted the health department and fire department. We spoke with Carol Biddle of the Miami Co. Health Department and got approval for the event and guidelines to follow for food safety. The fairgrounds are located in Mexico Fire district, however, they don’t have Inspectors, so after speaking with Paul Donaldson, PFD Inspector, everything should be fine as long as we keep all open flame fires at least 10 feet away from any tents or canopies. Crockpots, contained fires, burners, etc are all fine under the tents and canopies.
Step 5. We have decided on the name, logo, flyers, signs, etc. The name of our event is Miami’s Heartland Annual Chili Cook-Off. We have separate forms for team entry and sponsorship. We are waiting on the logo from a friend of Ashley’s to complete all of the forms and begin getting participants. We will have this completed by the next meeting.
Step 6. We have determined our schedule of cooking events and our Master of Ceremonies. We determined that we won’t need port-o-potties, we still need to arrange for a stage, what about trash receptacles? and Bruce Embrey will be our MC from 2-5 pm and he is also interested in being a judge.
Step 7. We will have t-shirts, trophies and certificates. Nick and Alan will both price shirts, one color ink on a variety of colors of shirts in a variety of sizes with our logo w/date on the front and sponsors on back. Susan will check on trophy prices, we will make Certificate of Appreciations on computer and get frames.
Step 8. As soon as we pick our logo, we will start printing flyers and signs. Signs will be 18 X 24 and cost $350 for 50.
Step 9. We have already placed our event with CASI so it will be in their magazine. They will get $3 of each $25 CASI entry.
Other:
Nick will check with the Peru Tigers Mascots to see if they can attend our event.
Lori will check with the Fire Department about having the Smoke House attend. The next meeting for the Miami County Fire Association is August 12th and they will discuss it that day.
We need to discuss who will do the judging.
Lori will check with Pepsi, again, about a banner and having a fountain there that day.
If we’re going to, we need to contact Red Gold about sponsorship.
Please go through the Chamber guide and decide who you want to contact by next meeting.
We need to contact a representative from each of our entertainment groups: Swampwater Stompers, Bluegrass Buddies, Band from Huntington, etc…By the next meeting, we need to know that they are for sure and what time slot they want. The schedule of events for entertainment needs to go on our flyer.
