HandiCapable Board Meeting
The meeting opened with prayer by Jeff.
Attendees: Alan Myers, Jeff Morehead, Ashley Kersh-Fletcher, Herschel Gulley, Lori Holderman, Randy Fletcher
Treasurer's Reports: Balance $1,265.00 (Including Cook-Off Profit)
OLD BUSINESS
Chili Cook-Off:
a. Profit/Community profit percentage: The Cook-Off took in approximately $1,000.00. After expenses, we have $800, we will give 50% of that to The Community Foundation. There was some discussion regarding the fact that we are giving them 50% of the profits, as agreed, but they didn't show any support before, during or after the event.
b. Problems/Improvements for next year: 1. We need a way to count attendees 2. We need to re-evaluate the hours for the event. 3. We need to have committee chairmen that will report back to the board. 4. We need trophies for more "places" and certificates of appreciation. 5. We do want to stick with CASI next year. 6. We need to get the teams lined up and get them their rules earlier. 7. We need better entertainment. 8. We need corporate sponsors on the backs of the shirts. 9. We need one flyer instead of three (Ashley and Randy will work on this).
c. Things to finish: Jeff will do a "Thank You" to go in the newspaper. Alan will pick up the trophy from T.W. Finn's and get it engraved.
d. Date/Location for next year: There was much discussion about merging our event with the Chamber's fall event. They will be having Oktoberfest on October 3 on the River Walkway. Positives for merging: Promotion by the Chamber including advertising and marketing, Parks Dept. involvement, Entertainment provided and organized by the Chamber, including car show, location (people will see the event when driving by), blacktop path for easier handicap access, more people/bigger event, no cost to rent location. Negatives for merging: Not having total control over our event (talk to Sandy about this), this will be the third time in three years that we have changed the location, will our name (Miami's Heartland Annual Chili Cook-Off) be recognizable in the event, no way to move indoors if the weather is bad. We will invite Sandy to our next meeting to discuss this.
e. Misc: Ashley will put a form on the website in case anyone wants to purchase a shirt or hat. Next year Red Barn Elephant Ears wants to set up and Clown Town Cycles wants to do a motorcycle show.
NEW BUSINESS
1. We want to start focusing on moving ahead with getting a central location for Handicapable. That will establish a face for the organization and also clarify the services/resources that Handicapable offers to the community. Ashley will look for grant opportunties and we will talk to Eva about applying for them.
